Enrolment Terms And Conditions

Payment Option 1 - Paid In Full
Our top payment option is the "Paid In Full" choice, which enables you to pay the entire cost of the program upon enrolment and receive a discount on the overall cost of the program. This fee encompasses all colour belt testing fees and insurance and membership charges, with the exception of the black belt testing fee. If you choose to withdraw from the program at any point, you will receive a 50% pro rata refund for any remaining program duration.


Payment Option 2 - Monthly Fees (Separate from enrolment fees *)
As a student of Toshi Ryu Martial Arts Ltd, you are committing to participating in the entire course when you enrol. To make the cost of the program more manageable, it has been divided into equal monthly payments. 
This allows for a 4-week hiatus from training, including a 2-week holiday break during the Christmas period. 
*Please note that these monthly fees are separate from the enrolment fees.


Enrolment Fee*
Upon enrolling, you must pay an enrolment fee which includes the cost of setting up your membership, insurance coverage for the duration of the program, and any equipment necessary for the program. This fee is non-refundable.


Cancelled Classes
"If any classes are cancelled beyond the 4 weeks specified, we will make an effort to schedule a make-up class, though this may not always be feasible. 
On bank holidays, the facility will be closed. 
Students who miss a class can attend a catch-up session within 3 months of the missed class, regardless of the reason for absence."


Direct Debit Payments
We collect payments through a Direct Debit mandate arranged by Nest Management Ltd and paid to Toshi Ryu Martial Arts Ltd. This method has shown to be the easiest and most convenient for both the academy and our members. We do not provide any other monthly payment options.


Pay as you Train
We do not allow pay as you train.


Cancellation of Training Fees
As a student, parent, or guardian, it is your responsibility to stop your Direct Debit with your bank if you need to discontinue your training, whether it's permanent or temporary. Toshi Ryu Martial Arts Ltd does not have the ability to control this process and cannot be held responsible for any charges or payments made after cancellation.
To ensure a smooth transition, please provide us with a one-month notice if you plan to cancel your membership. This will give us enough time to properly end your association with the school.


Please note that Toshi Ryu Martial Arts Ltd cannot offer refunds or credits to members who do not cancel their Direct Debit. If the Direct Debit is cancelled, it will be considered as a termination of your membership and re-joining fees will be required if you decide to return in the future as a new member, regardless of any previous fees paid.


Belts and Returning Students
Belts will be honoured for a period of two years from the date of leaving Toshi Ryu Martial Arts. After this time, you will need a period of at least 6 months retraining and will be assessed on your ability and new grade (this may be a lower grade than you were previously awarded but not normally).


Photographic & Video Consent
From time to time, we may take photographs or video footage of the classes for use on promotional material or the website. Any photographs or video footage taken of the classes will only be used by Toshi Ryu Martial Arts Ltd and will not be shared with any third party. Please fill out a non-consent form if you wish for videos or photos to NOT be taken of you or your child.


Equipment
"To ensure the safety of our students, all equipment must be procured exclusively through the school. In the past, incidents of injury have occurred due to the usage of substandard equipment. However, we guarantee that all equipment provided by us has undergone thorough testing and has received the necessary approvals. To make it more cost-effective, we offer an equipment package as part of the enrolment process to make sure students are safely equipped."

General Data Protection at Toshi Ryu Martial Arts
At Toshi Ryu Martial Arts, we take our members privacy into account by only taking the information we require from you as a member.


This data is used by our Management and staffing team to help your journey as a student of our school.
You have rights under the GDPR as an individual and below we will endeavour to explain your rights.


1.    Right to be informed 
You have the right to be informed about any data we hold about you and how we hold this data. The information we require from you is on our student membership form, this data is placed onto our CRM system and only used by management and staff,
We Collect the following Data
•    Name.  We know who you are.
•    Address. For our insurance.
•    Date of birth. We know your age, again for insurance and a birthday email.
•    Phone numbers. Contact you if required. (emergency and non-emergency) 
•    Email address. Send you information/special offers about our school.
•    Medical history. We need to know if there are any current medical problems.
•    Clothing size. For your uniform and equipment.
•    Bank Account details. To process lesson payments.
•    Photos. For use as advertising and on our system.


We use the following Storage to process your details.
•    Nest Management – Our CRM (School Software).
•    Nest Management – Our Direct debit collection company.
•    Mobile Phone – Used to contact students in Emergency.

2.    Right of access 
You will be able to see any data we keep about you at any time, we request you book a meeting with our data controller.

3.    Right to rectification 
You have the right to have any data we keep about you changed if it is incorrect.


4.    Right to erasure 
You have the right to have any data erased if you no longer train with our schools or have any association with Toshi Ryu Martial Arts.


5.    Right to restrict processing
You have the right to have any data restricted from use within Toshi Ryu Martial Arts or associated schools.
Individuals have a right to ‘block’ or suppress processing of personal data.
When processing is restricted, we are permitted to store your personal data, but not further process it. We can retain just enough information about the individual to ensure that the restriction is respected in future.


6.    Right to data portability 
The right to data portability allows Toshi Ryu Martial Arts Academy to obtain and reuse your personal data for their own purposes across different services.
It allows Toshi Ryu Martial Arts to move, copy or transfer personal data easily from one IT environment to another in a safe and secure way, without hindrance to usability.

7.    Right to object 
You have the right to object to data processing based on legitimate interests or the performance of a task in the public interest/exercise of official authority (including profiling).
You have the right to object to direct marketing (including profiling).
You have the right to object to processing for purposes of scientific/historical research and statistics.


8.    Rights related to automated decision-making including profiling. 
We can only carry out this type of decision-making where the decision is: 
o    necessary for the entry into or performance of a contract; or
o    authorised by European Union or Member state law applicable to the controller; or
o    based on the individual’s explicit consent.
